EVENT PLANNING & PRODUCTION
- Begin by working with the client to develop the overall concept and vision of the event. Paramount to this process is ensuring the tastes and voice of the client are met and reflected throughout the entire design process.
- Establish a detailed timeline and organized production schedule, working closely with the client to stay focused and meet every deadline.
- Collaborate with the client to determine, set, and manage their budget throughout the entire process, offering creative and flexible solutions when needed to stay on target.
- Suggest and research vendors, venues, caterers, and entertainment. Follow-up by soliciting proposals, comparing bids, negotiating contracts, and communicating with selected vendors.
- Work with selected venue to lead site visits and vendor walk-throughs and coordinate all associated travel and necessary permitting.
- Collaborate with caterers to schedule tastings, determine menu and course selection, and select cocktail and wine pairings when appropriate.
- Schedule in-person meetings with the client, remaining available and connected at all times.
DAY-OF COORDINATION
- Create run of show and day-of timeline, working with the client to determine the timing and flow of the event, providing guidance and suggestions when needed.
- Design seating charts that reflect the final floor plan and advise client on proper guest placement.
- Communicate with all vendors prior to the event, scheduling start times and answering all questions about the event.
- Oversee all vendors during the event and distribute payment as needed.
- Supervise load-in and breakdown of event, ensuring proper close-out for all aspects.
- Remain on-site to oversee the entire event and ensure it is executed flawlessly.
EVENT & FLORAL DESIGN
- Produce multiple scaled floor plan options for client, reflecting both the flow of the event and vendor suggestions when appropriate.
- Assist with design, style, and wording for all event materials, including save the dates, invitations, RSVP's, programs, and all other written materials.
- Advise the client on the selection of rentals and decor elements to create a cohesive and elegant presentation for their event.
- Create floral designs, including centerpieces and personal bouquets that will reflect both the client and the seasonal nature of the event.
